CUI 2023 strives to be an inclusive and accessible conference, and we will do our best to accommodate requests for special assistance. Information will be posted here as we develop our plans for the conference, to help you decide whether the conference will be accessible to you. What if I have a medical emergency or health problem during the conference?
In case of emergency call 112 for emergency services.
The nearest hospital is the Catharina Hospital, located at 3.5 km from the conference venue. If you require non-urgent medical care, please contact Diversity & Accessibility chairs by emailing us, or ask any student volunteer. They will provide you with information about local doctors, specialists, chiropractors, etc.
For non-resident attendees, buying travel insurance that covers medical expenses is strongly recommended as fees for emergency treatment can be very high.
Pronouns
Per CUI’s commitment to diversity, inclusion, and equity, we wish all attendees to indicate their pronouns to promote a safe, welcoming environment. This information will be included on your CUI 2023 badge and in the online attendee profile of the virtual platform to foster dignity, courtesy, understanding, and mutual respect during interactions throughout the conference. Providing/displaying your pronoun on your badge is not mandatory.
How do I communicate accessibility needs to organisers?
The Diversity & Accessibility chairs aims to ensure the conference is accessible to everyone. When you register for the conference, there will be questions for you to answer about your needs. Please complete these to indicate anything that will help make the conference accessible.
Possible requests include but are not limited to: sign language interpretation, note taker, assistive listening device, captioning, description (for slides, overheads or videos), and so on. The Diversity & Accessibility chairs will follow up with requests. You can contact them directly at any time by emailing us.
Please be aware that some accommodations may be difficult to provide at short notice, and we may only be able to accommodate some requests.
Will sign language interpretation be available?
If you request sign language interpretation in your conference registration, we will strive to provide interpretation for all conference presentations and events, including informal conversations. Please register your request before the 25th June 2023 by emailing us. You may also bring your interpreter to the event. Please reach out to the Diversity & Accessibility chairs to set this up.
Will childcare service be provided during the main conference day?
If your child(ren) will accompany you to the conference center, and if you need childcare for your children, please contact the Diversity & Accessibility chairs by email and the Local Organisation chairs by by email as early as possible to arrange childcare service for your kids.
We are happy to announce that we will cover the costs of high-quality childcare for children during the main conference days (Wednesday–Friday).

Nursing room
The lactation room is located on the conference venue. It is a comfortable, quiet individual space for parents and caregivers to feed your baby. This room, which is located on the -1 floor of the Atlas building (room -1.t64), TU/e, can be used to pump breast milk or to feed and calm your baby. If you need to use this room, please reach out to the Local Organisation chairs by by email to book this room at a specific time and datetime during the conference.
Can I bring my pet with me?
If you will bring your pet with you and you need a pet sitter, please contact both the Diversity & Accessibility chairs and the Local Organisation chairs by by email as early as possible to arrange pet sitting service for your pet.

What is the conference space look like?
The conference is located at the Atlas building of the Eindhoven University of Technology Please see venue information. The building is wheelchair accessible through a ramp towards the main entrance.

Will the conference be accessible by wheelchair or power scooter?
Yes, the conference will be accessible to wheelchair users. The building is accessible through a ramp towards the main entrance. All floors within the building are level, and all six elevators are wheelchair accessible. Wheelchair accessible restrooms are located at the ground floor, across the south-side elevators on all even-numbered floors (2,4,6,8 and 10), and across the north-side elevators on all odd-numbered floors (1,3,5,7 and 9).
Presentation stages are at level with the room. Poster sessions will have space for a wheelchair to move between the posters.

What are the restroom facilities like?
Restrooms are located on the north side of the ground floor, and across the elevators on all other floors. Both male and female restrooms are available on each floor, as well as one wheelchair accessible restroom, with a manual door that opens 180 degrees. We are still working on a more detailed description of the restrooms.

Will presenters be visible?
Presenters and speakers will be requested to use video when speaking to help lip-reading and non-native speakers. We recognise that this may only be possible for some speakers. Captions will be available throughout the conference as a fallback.
